What's up everybody? Uh, back again with another short video and today I wanna talk about everybody's favorite subject and that's of course imports. Uh, HubSpot launched a new beta regarding imports, I believe at the end of last week. Uh, and I think that's a really cool beta that's going to save us a lot of time when importing data in the crm because with this new beta, we now have the possibility to tell HubSpot if we strictly want to create new records or if we only want to update existing ones. So now we get to choose and that might save you a lot of time based on certain situations. So let's take a look at how that works. Um, with an example, I, uh, I cooked up here, so if we're taking a look at the pipeline, we'll see a couple of deals that have been imported.
No problem at all, of course. Um, and you know, after the import, you might say to your sales team, uh, well, data is in HubSpot so you can use the deals, you can work those deals. So now sales is actually in HubSpot working those deals, moving them through the pipeline, um, changing properties, logging, communications, and everybody's happy right now. A couple of weeks later or a couple of months later, you get an additional request on deals. They also want to have imported in HubSpot. So next to the original ones we have right here, you now not only have these original deals, but you'll get a spreadsheet with the original deals and the additional deals. But as we can see, the information in this spreadsheet regarding the original deals is not up to date anymore. So now before this beta, you would have to clean up your spreadsheet, right to make sure that deals that these deals in the pipeline are not impacted when you're updating them. So you would have to either manually check the deals. Okay? Deal number three is in HubSpot. We don't want that updated. So, um, I'm going to delete this. I'm going to clean this up so I only have these two additional deals left and then I can safely import. Um, and now we're looking at a small number of records, but if you have hundreds of different records, hundreds of different deals, that's gonna take you a lot of time. And of course you could work with
A V lookup, right, where you would have to, uh, uh, first of all have to export the data and then based on, um, a v lookup, you could determine what deals are already present in HubSpot and what deals are not present. Uh, however, with this new beta, we no longer need to do that exercise. I can simply export this spreadsheet. And then during the import process, I can basically tell HubSpot that we only want to create new records and don't affect any of the existing ones. So one object here and we're working deals. And now if I import the spreadsheet, I can select that I only want to create new deals or update existing ones. So if I now choose this one, the expected behavior is looking at the spreadsheet that these two deals are going to be created and the other deals already in HubSpot are going to be unaffected.
So I click next, go to the mapping process here, and by using an ID of course, HubSpot is simply checking if an existing deal is already present in HubSpot. And once it's present, HubSpot will not affect that deal record, but only import new deals who don't have an association with this column. So if I now click next date, that doesn't really matter. Import is processing. As we can see, two new records have been added, the existing ones have not been affected, and if we go back to the pipeline, we should only see those two new additional deals, while the other original deals are still there with the most recent uh, information. So, uh, really helpful if you're working, uh, with situations like this. Uh, so yeah, I wanted to share. Let me know what you think. And as always, happy hubs spotting.
